Title: Technical Project Manager / Coordinator
Location: Remote

Reports To: Head of Project Management
Works Closely With: Software Dev Team, Product Team, Fellow Ops Project Managers
Monthly Compensation: $2,000 - $2,500
We are looking for a Technical Project Manager who owns delivery end-to-end — from kickoff through launch — across software, product, hardware, and operations work. You’ll sit at the intersection of creative ambition and technical execution, leading the build lifecycle of games, activations, physical technology, and internal tools while protecting timelines, budgets, scope, and quality.
This is a hands-on role for someone who can run multiple concurrent projects, build the systems that keep them on track, and act as the connective tissue across sales, operations, creative, software, fabrication, logistics, finance, vendors, field teams, and clients. You’ll own ClickUp as a central project system, stand up scalable processes and SOPs, and drive profitability through disciplined tracking of scope, change orders, billbacks, and logistics costs. Project Coordination & Delivery
- Lead end-to-end delivery from kickoff through completion — ensuring projects ship on time, on budget, within scope, and to quality standards
- Run multiple concurrent projects across operations, keeping all stakeholders aligned
- Build and maintain project timelines, roadmaps, dashboards, and task lists; flag risks early and drive deliverables to completion
- Participate in standups, planning sessions, and milestone reviews to keep momentum and accountability high
Systems, Process & ClickUp Ownership
- Own and optimize ClickUp as the central project management system — workflows, templates, dashboards, task ownership, timelines, dependencies, and accountability
- Build and implement scalable PM processes, SOPs, checklists, and reporting structures that improve efficiency and reduce confusion, rework, and delays
- Advocate for and drive adoption of these systems across operations, production, and software teams so they become the single source of truth
Cross-Functional Coordination
- Manage coordination between sales, operations, creative, software, fabrication, logistics, finance, vendors, field teams, and clients
- Serve as the communication bridge across technical and non-technical stakeholders, translating requirements clearly in both directions
- Push for clarity, updates, and decisions to keep projects moving with professionalism and urgency
Commercial Ownership & Margin Protection
- Maximize client billbacks, change orders, recoverable expenses, and margin by tracking scope changes, additional requests, rush fees, logistics costs, and out-of-scope work
- Track project budgets, actual costs, timelines, risks, vendor performance, and profitability — escalating issues early and recommending solutions
- Identify and implement cost-reduction opportunities across logistics, procurement, vendors, installation partners, field services, and operational workflows
Logistics & Deployment
- Improve logistics planning and execution — shipping, receiving, staging, storage, installation, pickup, returns, site readiness, and deployment tracking
- Track vendors, purchase orders, deliveries, and project dependencies, ensuring nothing slips between teams
Quality & Continuous Improvement
- Lead continuous operational improvement — identifying inefficiencies, strengthening internal accountability, improving vendor performance, and creating repeatable systems
- Own the design-to-development handoff so files and assets are complete and developer-ready before a build begins
Requisitos
- 3+ years of project management experience, ideally in a digital agency, software, experiential, or tech-adjacent environment, with a track record owning delivery end-to-end
- Proven ability to run multiple concurrent projects and drive them to completion independently
- Deep, hands-on experience with ClickUp (or similar: Asana, Monday, Jira) — not just using it, but designing workflows, dashboards, and templates others rely on
- Strong commercial instincts: experience tracking budgets, change orders, billbacks, recoverable costs, and protecting margin
- Experience coordinating logistics, vendors, procurement, and/or field/installation work
- Solid understanding of QA concepts and what good testing looks like in a fast-paced build cycle
- Basic to intermediate design-file literacy (Figma, Photoshop, or similar) for reviewing handoff readiness
- Clear, direct communicator who can translate between technical and non-technical stakeholders and push for accountability
- Strong timeline and risk-management instincts — you don’t wait to be told something’s off track
