We manage O-1 visa cases end to end: eligibility review, evidence strategy, petition drafting, and filing, with an emphasis on speed, accuracy, and clear communication throughout. The Role
You will be the primary point of contact for a caseload of O-1A and O-1B clients, from the day they sign on until their petition is filed and decided. We're not looking for someone to process paperwork behind the scenes; we're looking for a strategist who takes ownership of each case, knows how to build a strong evidence file, manages client expectations honestly, and gets every petition filed with excellence and strictly on time.
Our attorneys review and sign off on the legal work. They are not running your caseload for you; you are.
Onboarding and Strategy
- Lead the kickoff for new clients: set expectations, map out the case timeline, and define next steps from day one
- Assess each client's background against the O-1A or O-1B criteria and set the evidence strategy: what to lead with, what's thin, and what needs to be built up
Evidence Management
- Guide and follow up with clients on document submission: press coverage, awards, critical-role letters, expert reference letters, contracts, and comparable documentation
- Organize and quality-check every input before it goes into the final petition assembly
Legal and Operations Liaison
- Draft petition cover letters, I-129 forms, and supporting exhibits, and route them to attorneys for legal review
- Translate client circumstances into the technical documentation our attorneys need, and keep the file moving between client, agent, and legal team
Client Communication
- Run regular check-ins (video calls and written updates) to track progress and collect what's still outstanding
- Communicate case status clearly, proactively, and in plain language, especially for clients navigating this process for the first time
Ownership
- Own the timeline: filing deadlines, premium processing windows, and RFE response deadlines across your entire caseload
- Monitor changes to USCIS policy and adjudication trends that affect O-1 filings, and flag implications for active cases
- Maintain accurate, current records in our case management system
- Contribute to process improvements as our caseload scales
Requisitos
- Proven experience as a Case Manager, Operations Analyst, Customer Success professional, or in another role that requires managing complex, multi-step processes end to end
- Experience managing immigration case files specifically (document collection, case tracking, preparing USCIS forms) is a strong plus; O-1/I-129 experience is a bigger plus still
- Advanced, fluent English, written and spoken; you'll be communicating with clients and institutions worldwide
- Comfort managing the "middle ground" between a signed client and a filed petition, where no step gets missed
- Bachelor's degree in a related field (Legal Studies, International Relations, Human Resources, or similar) or equivalent professional experience
