Overview of the role
The Process Documentation Expert position focuses on serving as the knowledge extraction and translation expert for the organization. This role involves conducting discovery sessions with busy stakeholders, asking the right questions to capture complete process information in single sessions, and transforming that knowledge into documentation so clear that new employees can follow it perfectly on their first try while owning the entire documentation lifecycle from discovery to delivery.
Key responsibilities
- Conducting discovery sessions with cross-functional stakeholders including analysts, managers, and leads to extract complete process information through structured questioning, ensuring all necessary details are captured in single sessions to minimize rework and follow-up meetings.
- Creating comprehensive process documentation including step-by-step guides, workflows, checklists, and decision trees using clear, concise language that enables new team members to execute processes independently without additional clarification.
- Designing visual process maps and flowcharts using tools like Miro, Lucidchart, or Draw.io to transform complex operational workflows into simple, easy-to-follow diagrams that enhance understanding and reduce execution errors.
- Maintaining and versioning the TQE-Docs repository by uploading finalized documentation to Confluence, ensuring consistency and standardization across all process documents, and keeping the knowledge base updated as processes evolve.
- Validating documentation accuracy by reviewing process guides with subject matter experts and end-users, incorporating feedback efficiently, and ensuring documentation works correctly for first-time users without requiring multiple revision cycles.
Requisitos
- Documentation Experience: 2-5 years of experience in process documentation, business analysis, or operational excellence roles.
- Complex Process Documentation: Proven track record documenting complex operational processes and workflows.
- Stakeholder Collaboration: Experience working with cross-functional teams including managers, analysts, and leads to extract process knowledge effectively.
- Knowledge Management: Background in creating documentation for knowledge management systems such as Confluence, Notion, or SharePoint.
- Technical Proficiency: Advanced skills in Confluence, Google Docs, and Microsoft Office Suite.
- Project Management Tools: Familiarity with project management platforms such as Asana, Jira, or Monday.com.
- Visual Content Creation: Experience with visual content creation tools such as Figma, Canva, or PowerPoint advanced features.
- Language Proficiency: Advanced level of English.
Additional skills preferred
- Industry Experience: Background in HR/Talent Acquisition operations or recruiting support environments.
- Diagramming Expertise: Advanced proficiency in diagramming tools such as Miro, Lucidchart, Draw.io, or similar workflow/process mapping platforms.
- Visual Design Skills: Ability to create flowcharts, swimlane diagrams, decision trees, and workflow visualizations.
